Eliminating Paperwork to Create a More Valuable Healthcare Checklist Experience
January 15, 2019
Every day, organizations across the care continuum use paper checklists to ensure consistency, prevent errors, and create a standard of performance for all employees. But advances in technology offer a more efficient way—now you can streamline your approach to checklists by using a checklist automation tool. In a recent webinar, Nancy Warthman of Alternate Solutions Health Network (ASHN) explains how her organization uses HealthStream’s award-winning Checklist Management tool to standardize and document validation of skills and track completions.
Why ASHN Made the Switch
Ranked in the top 1% of home health providers in the nation, ASHN is a post-acute home health agency bringing quality care to clients in the comfort and convenience of their home. In 2017, ASHN made the switch from paper to HealthStream’s automated Checklist Management tool, shifting the way they manage skills validations, track completions, and gather data for reports.
The potential ROI made by switching to HealthStream’s automated tool made the decision for ASHN to go paperless an easy one. If an organization has approximately 1,500 clinicians and spends more than half of a day doing completions with paper forms, the organization could be losing close to $200,000 annually that easily could be recovered by automating these processes.
Warthman explained that before ASHN began using the Checklist Management tool, they were losing a lot of time completing clinician competencies with paper and piecing together paper forms that got lost or separated while en route to human resources. “Keeping track of paper checklists for our clinicians was a big pain,” Warthman said. “We have over 20 items that our clinicians are checked off on annually, and parts of the checklists would always get separated and misplaced, and we spent a lot of time tracking down all of the pieces.”
ASHN knew it was time to get rid of the paperwork and move to an automated system—a move that resulted in a simplified and streamlined checklist process. The benefits were:
Easier Tracking with a Paperless System
Warthman offered that the ease of tracking was a deciding factor to invest in HealthStream’s tool. “Having everything in one spot that is even accessible on your mobile device made completing our checklist processes much easier for both clinicians and internal staff. We no longer have to figure out where completed checklists have been put or track down missing paperwork.”
Simplified Reporting Through Standardization
Warthman explained, “Now that we use an automated system, it is easy to collect information and populate a report. When we used a paper system, if leadership asked for information it was an ordeal to even find the information that was requested. Now it only takes a few minutes to pull a report and show them what they need.”
Improved Employee Satisfaction Linked to Automation
Moving from a cumbersome manual process to a simple online solution has been a relief for ASHN staff and clinicians. Warthman adds, “This has been a major time saver for them, and they are also relieved to reduce the amount of paperwork they have to fill out. From the internal perspective, it’s a big sigh of relief to eliminate the problem of how to keep up with and where to house all the paperwork.”
Skills Validation More Effective and Efficient with Automated Checklists
“Checklist Management allows our clinicians to review the skills checklists that they will be assessed for before they come in, allowing them to familiarize themselves with the skills they’ll have to show for competency. It also allows us to easily check off on that skill in our online solution once they’ve performed it,” Warthman explains.
