Challenge

Before myClinicalExchange, scheduling and onboarding at St. Luke’s relied heavily on manual spreadsheets and siloed communication, making it difficult to track compliance, scale student volume, or audit readiness. Each department managed placements independently, and onboarding was inconsistent across disciplines. Additionally, the lack of a central system made it difficult for St. Luke’s to coordinate IT access, badge distribution, and student record tracking, especially when overseeing thousands of learners across a dispersed geographic region.

Solution

St. Luke’s implemented myClinicalExchange as an enterprise-wide solution to streamline onboarding and scheduling for all students, observers, and trainees. The platform’s centralized functionality enabled a consistent process across disciplines and locations, helping the team standardize onboarding through built-in compliance checks and badge tracking. Integration with internal IT systems allowed for automation of account creation, while super user access provided enterprise-level oversight. All academic partners were required to onboard through myClinicalExchange, ensuring consistent data collection, reporting, and documentation.

Result

With myClinicalExchange, St. Luke’s successfully scaled to 4,076 student experiences, including over 2,000 nursing placements. The platform enabled centralized oversight through green/red compliance flags, reducing time spent manually verifying documents and improving accountability for partner schools. MyClinicalExchange's feature “Super user” controls streamlined data reporting and access across departments, while discipline-specific automation and unit-based reporting supported future growth. By enforcing consistent onboarding practices, St. Luke’s also strengthened its readiness for audits and Joint Commission reviews.

“We couldn’t havescaled to 4,000+ student experiences without myClinicalExchange. It’s ourone-stop shop for compliance, onboarding, and data.”
